User Manual

Complete guide to using Replily.ai — from signup to publishing your first AI reply.

1. Getting Started

Sign Up

Go to replily.ai/signup. Enter your business name, email address, and password. Click "Start Free Trial". You will receive a confirmation email — click the link to verify your email address.

Complete Onboarding

After confirming your email, you will be taken to the onboarding page. Enter your business name, select your preferred reply tone (Professional, Friendly, or Casual), and choose your reply mode (Manual Approve or Auto Publish). Click "Continue to Dashboard".

Dashboard Overview

Your dashboard shows 4 key metrics at the top: Total Reviews, Average Rating, Pending Replies, and Published replies. Below that is your review list with filters for All, Pending, Negative, and Published reviews.

2. Connecting Google Business Profile

Click Connect Google

From your dashboard, click the "+ Connect Google" button in the top right. You will be redirected to Google's authorisation page.

Authorise Access

Sign in with the Google account that owns your Google Business Profile. Click "Allow" to grant Replily permission to read your reviews and post replies. You will be redirected back to Replily.

Review Sync

Once connected, Replily immediately syncs your existing reviews. This may take up to 2 minutes for accounts with many reviews. After the initial sync, new reviews are checked every 30 minutes automatically.

Multiple Locations

If your Google account manages multiple business locations, all locations will be synced based on your plan limits. Starter: 1 location. Pro: 5 locations. Agency: unlimited.

3. Managing Reviews

Viewing Reviews

All your reviews appear in the dashboard sorted by most recent. Each review shows the reviewer name, star rating, review text, date, and reply status (Pending or Published). Red-bordered cards are negative reviews (1-2 stars) that need attention.

Generating an AI Reply

Click on any review card to expand it. If no reply has been generated yet, click "✨ Generate AI Reply". Replily will generate a personalised reply based on the review content and your chosen tone. This takes 2-3 seconds.

Editing a Reply

The generated reply appears in an editable text box. You can modify any part of the reply before publishing. Click "↺ Regenerate" to generate a completely new reply if you are not satisfied with the first one.

Publishing a Reply

Click "Publish Reply →" to post the reply directly to Google. The reply will appear on your Google Business Profile within a few minutes. Once published, the card shows a green "Published" badge.

Filtering Reviews

Use the filter tabs to view: All reviews, Pending replies only, Negative reviews only (1-2 stars), or Published replies. This helps you prioritise which reviews need attention.

4. Reply Modes

Manual Approve Mode

Every AI reply is generated and placed in your dashboard in Pending status. You must click "Publish Reply →" to make it live on Google. Nothing is published without your approval. Recommended for new users.

Auto Publish Mode

AI replies are generated and published to Google automatically as soon as a new review comes in. No action required from you. Best for high-volume businesses once you trust the AI tone. You will still receive email alerts for negative reviews.

Switching Modes

Go to Dashboard → Settings to switch between Manual and Auto modes at any time. The change takes effect immediately for all future reviews.

5. Reply Tones

Professional

Formal, courteous, and polished. Best for medical clinics, law firms, financial services, and corporate businesses. Example: "Thank you for your valued feedback. We are pleased to hear your experience was positive and look forward to serving you again."

Friendly

Warm, personable, and approachable. Best for salons, cafes, spas, retail shops, and service businesses. Example: "Thank you so much! 😊 We're really happy you had a great time with us. Hope to see you again soon!"

Casual

Relaxed and conversational. Best for lifestyle brands, gyms, and youth-oriented businesses. Example: "Hey, thanks a ton! Really stoked you had a good one. Come back anytime! 🙌"

Changing Tone

Go to Dashboard → Settings → Reply Tone. Select your preferred tone and click Save. New replies will use the updated tone. Existing published replies are not affected.

6. Billing & Plans

Free Trial

All new accounts get a 30-day free trial with full access to Starter plan features. No credit card required to start.

Upgrading

Go to Dashboard → Billing to view all plans and upgrade. Click "Upgrade to Pro" or "Upgrade to Agency". You will be redirected to Stripe's secure checkout. Once payment is confirmed, your plan upgrades immediately.

Plan Limits

Starter ($28/mo): 1 location, 50 AI replies/month. Pro ($88/mo): 5 locations, 300 replies/month, auto-publish, Facebook. Agency ($188/mo): unlimited locations, unlimited replies, all platforms, 5 users.

Cancellation

Go to Dashboard → Billing → Cancel Subscription. Your plan stays active until the end of the current billing period. No refunds for partial months. Your data is retained for 30 days after cancellation.

7. Email Notifications

Negative Review Alerts

Replily automatically sends an email alert to your registered email address when a 1 or 2-star review is received. The email includes the reviewer name, rating, and review text so you can respond quickly.

Weekly Digest

Pro and Agency plan users receive a weekly email digest every Monday summarising review activity: total reviews received, average rating, response rate, and any pending replies.

8. Troubleshooting

Reviews not syncing

Go to Dashboard → Connect Google and click "Sync Now". If reviews still do not appear, disconnect and reconnect your Google account. Make sure the Google account you connected is the one that owns your Google Business Profile.

Reply failed to publish

This usually happens if your Google OAuth token has expired. Go to Connect Google, disconnect, and reconnect your Google account to refresh the token. Then try publishing again.

Wrong business location showing

If you manage multiple Google Business locations and the wrong one is showing, contact support at support@cvidsproductions.net to adjust your location settings.

Cannot log in

Try resetting your password using the "Forgot password" link on the login page. If you still cannot log in, contact support@cvidsproductions.net.
